Automation for local businesses

Take the routine jobs off your plate.

I can automate the routine jobs in your business, so it's easier to grow without adding to the workload. Here's what that means, and how I'd start.

Where this fits

Getting found is half the job.

My monthly plans help customers find you on Google Maps, in Google search and in AI answers like ChatGPT. This is about what happens after they find you: answering, following up, reviews, paperwork and posting.

It's separate from the monthly plans. It works on its own or alongside one, and you don't need a new website.

What I automate

Jobs I can take off your hands.

  • Every call answered, even after closing time

Calls after hours go to voicemail. A customer who needs help tonight may not wait for a callback.

An AI receptionist answers your phone when you can't. It takes the caller's name, number and what they need, answers your common questions and books appointments. Real emergencies go straight through to a person.

  • New leads answered while they still care

Web form messages and quote requests sit for hours or days. By the time you reply, the customer may have hired someone else.

Every new inquiry gets a prompt reply by text message and email, so the leads you already have hear back while they're still deciding.

  • Every happy customer asked for a review

Happy customers leave without being asked for a Google review, and the reviews that do come in sit unanswered.

After each job, a review request goes out at a good time, with a reminder if needed. When a review arrives, a reply is drafted for you or me to approve before it goes up.

On a monthly plan, review replies are already included.

  • Your evenings back from the paperwork

Email, scheduling, reports, data entry and summaries eat hours every week, usually after the real work is done.

I set up the repetitive back-office jobs to run on their own: sorting email, booking and reminders, copying details from one place to another, and a short summary of your week. You check the results instead of doing the typing.

  • Posts and newsletters written ahead, sent on time

You know you should post on social media, write for your website and send a newsletter. It never makes it to the top of the list.

I write a batch of social posts, blog drafts, newsletters and website updates up front. You approve them, and they go out on a schedule.

The AI receptionist

Honest with your callers. You stay in charge.

  • It tells callers it's an AI assistant for your business.
  • Emergencies, and anything it can't handle, go to a person you choose.
  • You approve what it says before it answers a single call.
  • You see the details of every call it takes.

How I start

I look first. Then I suggest one or two jobs, not everything.

I don't sell "AI" as a package. Every business runs differently, and the job that eats your week isn't the one that eats your neighbour's. So I start by looking at how you work: how calls come in, what happens to a web form, how jobs get booked and followed up.

Then I tell you the one or two jobs where automation would save you the most time or win back the most work. If nothing is worth automating, I'll tell you that too.

  1. 1Tell me the job that eats your week.
  2. 2I ask a few questions about how you do it now.
  3. 3I tell you the one or two jobs I'd automate first, and what each would cost.
  4. 4You decide. If it's a yes, I set it up and you approve it before it goes live.

A made-up example

Say a plumber misses five after-hours calls a week, and two of them would have been $800 jobs. That's about $1,600 of work a week going to voicemail.

These numbers are invented to show the sum, not a result. Your own numbers are the ones that matter, and they're what I look at first.

What it costs

Priced per job, after I've looked.

There's no price list, because no two jobs are the same. Once I've seen how you work, I quote each job: monthly where the work is ongoing, one-off where it isn't. All prices are in CAD, plus GST. You see the price before anything starts.

I can't promise more calls or more customers. Nobody can promise those. I can tell you exactly what each job does, and you can check that it's doing it.

I set it up and look after it myself. You deal with me, not a sales team.

First step

Tell me the job that eats your week.

Reply to my email, use the contact form, or write to hello@jimmacdonald.biz. A sentence or two is enough. I'll look at how you work and tell you what I'd automate first, and what it would cost.

Tell me the job

I reply within 1 business day.
